Sorting,filtering, spotting observations
From the tab Home, click Sort and filter or Spot.
The function of sorting and filtering allows you to modify the order of the display of observations in the spreadsheet. To sort the observations of a variable in the ascending or descending order, select the corresponding column in the spreadsheet then define an order of sorting from the button Sort and Filter.
To define a more personalized mode of sorting, click Sort and Filter, then Custom sort. You reach the following dialog box, and can define the set of sortings you want to get.
1 Select the variable to sort, and the direction of sorting. Click to add a new sorting to delete a sorting. The sorting is done first on the first variable chosen then in function of the second.
To spot observations, which means to make them more visible in the screen by coloring the cells of the spreadsheet, click on the button Spot, from the tab Home. You reach the following dialog box, allowing you to define the conditions of coloring the cells.
In our example, we are looking for all the male respondents, for this we define a profile to spot as the variable corresponding to the gender of respondents takes the value « MALE »
1 You have the list of conditions you would have created. To add a new condition click and to delete it click .
2 Select the option of spotting observations. You could, like in this example, choose a profile you have created. You can also choose to display the non-responses (empty cell), a word in particular or a list of observations.
3 Click Define to choose the conditions of coloring cells.
Otherwise, it is also possible to add a filter on one variable to display only the observations you wish to visualize. For this, click on the button of the column on which you wish to add a filter.
